Admin Dashboard Quick Tasks

Member Operations

  • Add new member — Memberships → Members → Add Member
  • Find a member — Memberships → Members → Search bar
  • Assign membership — Member Profile → Memberships tab → Assign
  • Check in member — Member Profile → Check In button
  • Freeze membership — Member Profile → Memberships → ⋯ → Freeze
  • View member invoices — Member Profile → Transactions tab
  • View communication history — Member Profile → Communication History tab
  • Add note — Member Profile → Notes tab → Add Note

Membership Plans

  • Create new plan — Memberships → Membership Plans → Add

Classes & Schedule

  • Create class type — Schedule → Class Types → Add

Common Status Meanings

Membership Statuses

  • Active — Member can use the gym
  • Inactive — Membership expired or not started
  • Frozen — Temporarily paused

Invoice Statuses

  • Open — Payment required
  • Paid — Payment completed
  • Draft — Not yet finalized
  • Void — Cancelled invoice
  • Forgiven — Marked as uncollectible
  • Refunded — Refund issued

Reservation Statuses

  • Reserved — Member has booked
  • Can Check In — Check-in window open
  • Checked In — Member attended
  • Checked Out — Member checked out
  • No Show — Member didn't attend

Class Statuses

  • Available — Open for booking
  • Fully Booked — No spots left
  • Reservation Not Open — Booking not yet available
  • Reservation Closed — Booking window has ended
  • Completed — Class has finished

Quick Troubleshooting

Can't Check In Member

  1. Verify membership is Active (not frozen/expired)
  2. Check if usage limit is reached
  3. Try manual check-in if QR scan fails

Payment Failed

  1. Check card expiry date
  2. Verify Stripe connection is active
  3. Ask member to update payment method

Member Can't Log In (App)

  1. Verify email address is correct
  2. Use "Forgot Password" to reset
  3. Ensure app is updated
