Custom Fields & Tags

Extend member profiles with custom fields and organize staff notes with tags.


Custom Fields

Overview

Custom fields let you collect additional member information beyond the default profile fields.

Location: Settings → Custom Fields

Adding Custom Fields

  1. Click Add Custom Field
  2. Configure:

TypeText, Number, Date, or Dropdown
RequiredMust be filled when creating members

  1. Click Save

Field Types

For dropdown fields:

  1. Enter each option on a new line
  2. Options appear in the order entered
  3. Members select one option

Common Custom Fields

  • Emergency contact name
  • Emergency contact phone
  • Medical conditions
  • T-shirt size
  • How did you hear about us
  • Employer (corporate memberships)
  • Fitness goals
  • Allergies

Managing Custom Fields

Editing Fields

  1. Click the field to edit
  2. Modify settings
  3. Save changes

Changing field type may affect existing data.

Reordering Fields

Drag and drop to reorder how fields appear on member profiles.

Archiving Fields

To hide a field you no longer need:

  1. Click the field
  2. Click Archive
  3. Field hidden from new entries

Archived fields:

  • Data preserved on existing members
  • Not shown when creating new members
  • Can be restored if needed

Where Custom Fields Appear

  • Member creation form (if enabled)
  • Member profile - dedicated section
  • Member export - included in CSV exports

Note Tags

Overview

Note tags help categorize staff notes on member profiles.

Location: Settings → Note Tags

Creating Tags

  1. Click Add Tag
  2. Enter Tag Name (e.g., "Medical", "Payment Issue", "VIP")
  3. Choose Color for visual identification
  4. Click Save

Suggested Tags

  • Medical
  • Payment Issue
  • VIP
  • Complaint
  • Equipment Request
  • Personal Training
  • Follow-up Needed

Using Tags

When adding notes to member profiles:

  1. Write your note
  2. Select applicable tag from dropdown
  3. Save

Tag Benefits

  • Filter notes by category
  • Quickly identify note types visually
  • Consistent categorization across staff
  • Better member history organization

Best Practices

Custom Fields

  • Only collect information you'll actually use
  • Make fields required only when necessary
  • Use dropdowns when options are limited
  • Keep field names clear and concise

Note Tags

  • Create tags for common categories
  • Use consistent naming conventions
  • Limit to 10-15 tags to avoid confusion
  • Use colors that are easy to distinguish

Troubleshooting

Custom Field Not Showing

Check:

  • Field is not archived
  • "Show in Member Form" is enabled (for creation form)
  • Page has been refreshed

Can't Delete Field

Fields with data cannot be deleted. Archive them instead.
