Bulk Editing Classes

Change the time or coach of many upcoming classes at once. Instead of editing each class one by one, you pick the classes by criteria (class type, day, start time, coach) and apply a single change to all of them.

Past and already-started classes are never affected.


When to Use It

Bulk editing is ideal when your regular schedule shifts, for example:

  • Moving every Monday 9:00 AM yoga class to 10:00 AM
  • Reassigning all of one coach's classes to another coach after a staff change
  • Removing the coach from a group of classes

Because you select classes by criteria — not by how they were originally created — it works even when the same recurring class was set up across several separate scheduling actions.


Opening Bulk Edit

Location: Classes → select a class → Bulk edit schedule

  1. Open any class (from the class list or the calendar)
  2. Click Bulk edit schedule

The bulk edit panel opens with the current class's class type, start time, and coach already filled in as the starting filter — so editing "all classes like this one" takes just a couple of clicks.

Step 1 — Choose Which Classes

Under Which classes, narrow down the classes you want to change:

  • Class Type — Required. Bulk edit is always scoped to a single class type.
  • Days — Optionally limit to specific weekdays (Monday–Sunday)
  • Current start time — Match only classes that currently start at this time (or leave as Any time)
  • Coach — Match only classes currently assigned to this coach
  • From date — The effective date; defaults to today. Only classes on or after this date are changed.
  • To date — Optionally set an end of the range

As you adjust the criteria, a live counter shows how many classes match. Expand it to review the exact classes — each entry links to that class in a new tab so you can double-check before applying.

Start broad, then watch the match count as you add filters. The count tells you exactly how many classes your change will affect before you commit to anything.


Step 2 — Choose the Change

Under Change to, set the new values to apply to every matching class:

  • New start time and New end time — Move the classes to a new time. Both are required together, and the end time must be after the start time.
  • New coach — Reassign all matching classes to a different coach
  • No coach — Tick No coach (remove the assigned coach) to clear the coach from the matching classes

You can change the time, the coach, or both. Leave a field unchanged to keep it as-is.


Step 3 — Apply

Click Apply. Every matching class is updated, and you'll see a confirmation of how many classes were changed.

When a class's time changes:

  • Existing reservations move with the class automatically
  • Booked members are notified of the change (if notifications are enabled)

Bulk edit applies to all matching upcoming classes at once and cannot be undone in a single step. Always review the match count — and expand the list to check the classes — before clicking Apply.


What's Protected

  • Past and already-started classes are never changed, even if they match the criteria.
  • A single bulk edit is limited to 500 classes. If your filter matches more, narrow it down (for example, add a specific day or start time) and apply in smaller batches.
  • Classes that already have the target time and coach are skipped, so the reported count reflects only the classes that actually changed.

Best Practices

  • Filter tightly. The more specific your criteria (class type + day + start time), the safer and more predictable the change.
  • Review before applying. Expand the match list and spot-check a few classes, especially when changing the coach.
  • Set a From date to avoid touching classes earlier in the week you've already communicated to members.
  • Communicate schedule changes to members even though they're notified automatically.

Troubleshooting

Apply button is disabled

The Apply button stays disabled until at least one class matches your criteria. Check that a Class Type is selected and that your filters aren't too narrow.

Some classes didn't change

Classes are skipped when:

  • They are in the past or have already started
  • They already have the exact time and coach you're applying

"Too many classes matched"

Your filter matched more than the 500-class limit. Add a more specific filter (a day or a start time) and apply in smaller batches.
