Set Up Family Memberships & Dependents

Let one membership cover a parent and their children.

Group a parent and their children into a family so one shareable membership covers all of them — no separate plan, no $0 membership, and no email address for a child who cannot log in.

How Family Sharing Works​

A family is a group of members. When one of them holds a membership on a plan marked Shareable with family, everyone else in the family can check in and book classes and appointments on it. Usage is pooled: on a plan with a limit, each visit by any family member counts against the same allowance.

Two things are separate: holding the shareable membership and managing the family. Holding the plan is what lets the family train; managing is the only thing that lets someone act for the others.

The membership itself belongs to whoever bought it, as usual, but buying it grants no say over the others: a parent who holds the plan and does not manage the family books only themselves. A parent who set up the family before buying a plan, or whose plan has lapsed, still manages it — and in a two-parent household, whichever parent manages books the children, on the plan either of them holds. A teenager who buys their own shareable plan can train on it, but does not run the household.

Make a Plan Shareable​

  1. Open the plan (or create one) and switch on Shareable with family
  2. Save

Any plan type can be shareable. The plan's usage limit, time windows and class-type restrictions apply to the family as a whole, exactly as they would to the holder alone. Members see Shareable with family on the plan in the app and on your gym site, so parents know a plan stretches to their kids before they buy.

Create a Family​

Location: a member's profile → Family card

  1. Open the parent's profile from Members
  2. In the Family card, click Create family

The member becomes the family's manager. Members can also start a family themselves from the app or the gym site.

Add Dependents​

A dependent is a new person, not an existing account. They need only a name.

  1. In the parent's Family card, click Add dependent
  2. Enter the Full name and, optionally, the Date of birth
  3. Click Add dependent

The dependent appears as a regular member: they have a profile, a check-in QR code and PIN, attendance history and notes. They have no email and no login, so:

  • Anything emailed to them — booking confirmations, reminders, broadcasts — is delivered to whoever manages the family, or failing that to another relative with an email address. A broadcast sent to a whole family arrives once.
  • Set password is not available for them.
  • They read as Active in the members list as long as someone in the family holds an active shareable membership, and their membership names show the plan they train on.

To give a dependent an email later, edit their profile as usual. They will still need a password reset before they can sign in.

Add an existing member​

To bring in someone who already has an account — a spouse, an older child with their own login — pick them in or add an existing member and click Add to family. Linking an existing account is staff-only: it grants a real person access to someone else's paid membership.

Managers​

Use Make manager on a family member's row to let them add, edit and remove dependents and book for the family from the app; Stop managing takes it away. Dependents cannot be managers, since they cannot log in.

Edit or remove​

Open a dependent's profile to change their details, as for any member. To take someone out of the family, click the trash icon on their row and confirm. Their account and history are kept; they simply stop sharing the membership.

Book and Check In a Dependent​

Everywhere staff pick a member, a dependent is offered like anyone else, and the memberships offered are the ones that cover them — their own, plus the family's shareable one.

  • Class reservations: Add attendee → pick the child → choose the family membership. Siblings can each be booked into the same class on the one membership.
  • Series enrolment: each row names the person attending and the membership their place is taken on.
  • Appointments: pick the child as the member; the family membership is offered.
  • Check-in: at the desk, scanner or kiosk, check the child in with their own QR code or PIN; the visit is recorded under the child and counted against the family membership.

Eligibility is checked on the person attending — a blocked child is refused even when the parent is fine — while the membership's state (active, frozen, sessions left) is checked on the membership itself. Freezing the parent's membership pauses the whole family.

Where Families Show Up​

  • Members → Families lists every family with who manages it and who is in it. One nobody manages is flagged Nobody. The actions menu lets you Delete a family — its people keep their accounts and history but stop sharing.
  • A dependent's Membership tab shows a Covered by a family membership panel naming the plan and who holds it. Freezing, cancelling or switching that plan is done on the holder's own profile, one click away.
  • The Has active membership and Membership plan filters on the members list include dependents covered by a family plan, so children are never listed as inactive or left out of a plan's member list.

Members Do It Themselves​

From the app and the gym site, a member who manages a family can start one, add and edit dependents, remove people, book classes and appointments for each relative from a Your family panel, cancel those bookings, leave waitlists and check their kids in. Their Reservations and Visits screens show one person at a time — themselves, or a relative picked at the top.
