Your first week with Finegym
What to set up first, what to tell your members, and what a normal day looks like.
A first week on Finegym has three parts: set up what you sell and when you teach, bring your members over, then tell them. After that, a normal day runs from Today.
Days 1 and 2: what you sell and when
Work through the Set up your business checklist on Today. The parts that take longest come first:
- Connect Stripe early. Stripe checks your business before you can take cards, and that can take a while. See Accept card payments.
- Create your membership plans: monthly plans, class packs, drop-ins, a free trial. See Membership plan types.
- Set up your schedule: class types, then the classes, repeating every week. Appointment types if you sell personal training. See Schedule classes.
- Taxes, if you charge them. See Set up taxes.
Days 3 and 4: bring your members over
- Import your members from your old software's export, then give each the plan they already pay for, with the date Finegym should first bill them. See Switch from another system.
- Waivers and contracts members must sign: see Collect signed waivers and documents.
- Read the emails Finegym sends to members (welcome, booking confirmations, receipts) and change the wording or turn some off. See Customize email templates.
- Invite your team, each with the right role. See Invite your team.
Day 5: tell your members
- Send the welcome emails. Each member gets a link to choose a password, their check-in PIN and QR code, and links to the app. Send them only once your old system has stopped billing.
- Share your website:
https://<your business ID>.sites.finegym.io. Members book, buy and pay there, or in the Finegym app. See Share your website. - Point new people to your inquiry form, so every question becomes a lead you can follow up. See Collect inquiries from your website.
A normal day
Today is the page the admin opens on. It shows the day's classes and appointments with who is booked, who has arrived, and what Needs attention: members who owe money, payments with a declined card, memberships ending this week, and members with a plan who have stopped coming. See The Today page.
| When | What happens | Where |
|---|---|---|
| A member arrives | They check in by QR code or PIN, or the desk checks them in | Scan member at the top, or Front desk mode for a self-service screen. See Check members in |
| Someone walks in or calls | Add them as a lead, or as a member and sell them a plan | Track leads, Assign a membership |
| A member books or cancels | It shows on the class at once, with a waitlist when the class is full | Book members into a class |
| A membership renews | Its invoice is made on the billing date and, when the member pays by card, the card is charged | How invoices work |
| A card is declined | The payment is tried again, and it shows under Needs attention | How declined card payments work |
What runs by itself
Once members are in, Finegym confirms their bookings, reminds them three days before a membership payment, bills recurring memberships, tries declined cards again and emails members before a membership ends, without anyone at the desk. Every one of these emails can be reworded or turned off under Settings > Email templates.
